VENDOR FAQs

GENERAL CONFERENCE INFORMATION

IIPS has two conferences a year – July and October.


» The Executive Committee begins the planning process 2-3 months before the conference. At that time, all vendors in our database will receive an email with the information. Even if you are not in the database, the registration link with all the information is posted on our website (www.nciips.org)
» All breaks are served in the vendor exhibit space (or close proximity) to allow all participants easy access to vendors. The vendors are also encouraged to attend the social activities as an additional opportunity to network with the attendees.
» Vendors who sponsor at a level above Basic, are permitted access to the meal (Lunch during the fall conference and the banquet during the summer conference).

The Summer conference is typically held in July, with approximately 300 people in attendance.
» Attendees are representatives from the 58 community colleges with 30% being from the IT departments, 30% being from Curriculum Admissions/Student areas, and 30 % being from Continuing Education and Basic Skills Student areas.
» The base cost for Vendor attendees is $800, with several opportunities for sponsorships of breaks, entertainment, and meals.

The Fall conference is typically held in October, with approximately 200 people in attendance. » Attendees are representatives from the IT departments of the 58 community colleges. Those attending represent IT Directors, SystemAdministrators, Network Administrators, and PC Techs.
» The base cost for Vendor attendees is $1,000 with several opportunities for sponsorships of breaks, entertainment, and meals.

If a vendor pays for an additional sponsorship (ie break, social, etc), they are recognized for this on the Sponsor page of the Agenda Site. They also are recognized with special signage at their vendor table.
- Each vendor can have up to 3 persons from their company at their table at any given time. We ask that there is only one company per table (unless you register at the partner level). - A vendor is allowed to present at the conference IF they co-present with a college that uses their service/product. These presentations must be informational and not a sales pitch. - One week before the conference, those vendors that are registered will receive an attendee listing.
- We encourage vendors: » To bring their own name badges. Badges are supplied that identify you as a vendor. » To bring long power strips. Power is provided, but we cannot guarantee it will be within 2-3 feet of your table.

To express interest in becoming a vendor/exhibitor, navigate to our website's Vendor menu and click on the "Become a Vendor" option. Upon subscription, you will be automatically added to our mailing list, ensuring you receive comprehensive information about upcoming conferences, including details on registration, dates, and locations.

PRICING STRUCTURE
FALL

(Individual—one company at a table) $1,000 - Only one vendor, with up to 3 attendees at any time permitted. Includes table, 3 chairs, power, WIFI, your company contact information, logo and description listed on the Sponsor page of the Agenda/Event site and an introduction during the opening session.
(Partner—two companies at a table) $1,500 - Primary vendor and a partner, with up to 3 attendees at any time permitted. Includes table, 3 chairs, power, WIFI, your company contact information, logo and description listed on the Sponsor page of the Agenda/Event site and an introduction during the opening session.
Does not include admission to the luncheon in October or the banquet in July

BREAK SPONSOR - $2,000 ONLY FOUR AVAILABLE Company listing under the BRONZE SPONSOR tier on the Sponsor page of the Agenda/Event site, special signage recognizing your company as a break sponsor and admission to the conference lunch.
GIVEAWAY SPONSOR - $2,000 ONLY ONE AVAILABLE (Not always available) Company listing under the BRONZE SPONSOR tier on the Sponsor page of the Agenda/Event site, logo on the conference gift given to all attendees at registration and complete conference attendee list.

ENTERTAINMENT SPONSOR - $2,500 ONLY ONE AVAILABLE Company listing under the SILVER SPONSOR tier on the Sponsor page of the Agenda/Event site, special signage recognizing your company's sponsorship, six (6) drink tickets for Monday Night and admission for three (3) of your company representatives to the conference lunch.
SOCIAL FOOD SPONSOR - $2,500 ONLY TWO AVAILABLE Company listing under the SILVER SPONSOR tier on the Sponsor page of the Agenda/Event site, special signage recognizing your company's sponsorship, ten (10) drink tickets for Monday Night and admission for three (3) of your company representatives to the conference lunch.
DRINK TICKET SPONSOR - $2,500 ONLY ONE AVAILABLE Company listing under the SILVER SPONSOR tier on the Sponsor page of the Agenda/Event site, special signage recognizing your company's sponsorship, logo printed on drink tickets used for Monday Night Social, each sponsor will receive 20 drink tickets to hand out to attendees and admission for three (3) of your company representatives to the conference lunch

LUNCH SPONSOR - $3,500 ONLY TWO AVAILABLE Company listing under the GOLD SPONSOR tier on the Sponsor page of the Agenda/Event site, Vendor will be allotted five (5) minutes during the lunch to address the group, three (3) lunch attendees, prime table location, special signage recognizing your company's sponsorship, and complete conference attendee list.
